How we handle the personal information you share with us when you contact us or use our services.
Who we are
Edinburgh Clearance ("we", "us", "our") is a family-run house clearance business based in Edinburgh, providing services across Edinburgh and a 40-mile radius. For the purposes of UK data protection law (the UK General Data Protection Regulation and the Data Protection Act 2018), we are the data controller for the personal information we collect from you.

What information we collect
- Contact details: name, phone number, email address, postal address or postcode of the property concerned.
- Service details: the kind of clearance you need, property type, rough volume of work, any specific requirements.
- Communications: records of phone calls, emails, text messages and form submissions.
- Site usage data: standard web analytics (IP address, browser type, pages visited) when you use this website.
- Body-camera footage: when our team is on site, we record body-cam footage of the work as a safeguard for both customer and team.
How we use it
- To respond to your enquiry and provide a quote.
- To carry out the work you have contracted us for.
- To send relevant follow-up communications relating to the job.
- To comply with legal obligations — particularly waste tracking under SEPA regulations.
- To improve our service through customer feedback.
We do not use your data for marketing without your specific consent, and we do not share your data with third parties for marketing purposes.
Who we share it with
We only share personal information with third parties where necessary to deliver the service or to comply with the law. Specifically:
- Our website hosting provider, who processes website data on our behalf under a data processing agreement.
- Our accountants, for invoicing and tax records.
- SEPA and other regulators, where they request waste transfer documentation in line with the Waste (Scotland) Regulations.
- Law enforcement, where we are legally required to do so.
We never sell personal data.
How long we keep it
Enquiry data is held for up to 12 months in case you come back to us. Customer records are held for 6 years (in line with statutory financial record-keeping requirements). Waste transfer notes are held for the legally required minimum (currently 2 years for transfer notes, longer for hazardous waste consignment notes). Body-cam footage is held for 30 days unless retained for a specific reason (e.g. an insurance claim or complaint), then deleted.
Your rights
You have the right under UK GDPR to:
- Request a copy of the personal data we hold about you.
- Ask us to correct inaccurate data.
- Ask us to delete data (subject to our legal retention obligations).
- Object to certain kinds of processing.
- Withdraw consent where processing is based on consent.
- Complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Cookies
This website uses minimal cookies — only those strictly necessary for the website to function (for example, to remember your form input in case of a connection problem). We do not use third-party advertising cookies or cross-site tracking.
